We are looking for an AI Program Coordinator / PMO (AI) to join G2A and help us unlock the potential of AI across our business initiatives.

This role sits at the intersection of AI, business, and operational execution, so we are looking for someone who can turn an AI idea into a well-structured and effectively managed initiative. You will work directly with the Chief Data & AI Officer, supporting them in managing the entire portfolio of AI initiatives - from gathering and structuring ideas within business teams, through piloting and evaluating results, to recommending implementation.

At the same time, as part of your day-to-day work, you will build a single source of truth for AI knowledge across the company, ensuring that information, best practices, and learnings from projects remain up to date, easily accessible, and genuinely useful to people using AI in their everyday work.

We are looking for someone who can navigate effectively at the intersection of business, people, and the opportunities AI creates. If you have experience coordinating projects or working in business analysis, are highly organized, know how to ask the right questions and turn ideas into concrete actions, and are genuinely interested in how AI is changing the way we work this role could be a great fit for you.

Your responsibilities:

Coordination of AI Pilots and Projects

• Gathering and structuring requirements from business teams for AI solution pilots
• Managing pilot schedules, providing status updates, tracking dependencies and deadlines, and organizing meetings and project wrap-ups
• Collecting pilot results (metrics, user feedback, costs) and preparing materials with a recommendation: implement, improve, or close
• Supporting transformation projects across organizational and marketplace platform areas where AI is one of the components — coordinating tasks, facilitating communication between teams, and reporting on progress

Internal AI Knowledge Hub and Communication

• Managing the internal AI Hub: collecting use cases from teams, documenting implemented solutions, sharing best practices, guidelines, and FAQs
• Maintaining an up-to-date list of AI tools approved for use within the company, as well as information on licensing budgets and the process for allocating licenses, in cooperation with Technology and Security teams
• Managing AI-related communication on Microsoft Teams, including the recurring “Weekly AI” format: setting the agenda, inviting guests, preparing summaries, and sharing materials
• Gathering teams’ needs regarding the development of the AI platform and available models, and communicating them in a structured way to the Data & AI team

Operational Support for AI Governance

• Administering domains and access rights on the internal AI platform in line with established policies and guidelines
• Reporting on the utilization of budgets for AI tools and licenses (monthly reports, forecasts, and variance analysis)
• Preparing materials and documentation for the approval processes of new AI solutions (technology and security assessments), and participating in these processes as the business-side owner/coordinator

You're a perfect match for the role, if:

• You have 2-4 years of experience in project coordination, PMO, business analysis, or a similar role within an IT, technology, or e-commerce environment
• You are comfortable managing multiple topics in parallel from schedules and status updates, through risk and decision logs, to preparing concise reports for senior management
• You can efficiently gather requirements, analyze and structure information, and turn it into clear notes, summaries, and recommendations
• You can communicate key insights concisely and clearly, in a way that supports effective decision-making
• You use AI tools such as Microsoft Copilot, ChatGPT, Claude, or Gemini in your day-to-day work and are curious about how they can be applied across different teams
• You have a basic understanding of working with AI agents and keep up with the key trends in this area
• You are comfortable working with Excel and/or Power BI - you can prepare reports, analyze data, manage a budget, or build a simple dashboard
• You are familiar with Jira, Confluence, or similar tools
• You have excellent Polish and English communication skills (B2+/C1)
• You are self-driven, independent, and focused on seeing things through to completion
• You thrive in situations that require bringing structure to new or unstructured areas - you can identify needs, propose an approach, and give a topic the right structure
• You have experience implementing AI tools or automation solutions within an organization, such as Copilot, Power Automate, n8n, Make, chatbots, or process automation

These would be a plus:

• Experience with internal communications, communities of practice, or training programs
• A project management certification (PRINCE2, PMP, AgilePM, PSM) - a plus, not a requirement
• Experience in e-commerce, marketplaces, gaming, or the technology industry
